As the platform evolved, patent drafting required more than just AI-generated text. Users needed structured guidance, reliable generation workflows, subscription-based collaboration, and a system capable of handling large-scale drafting operations without manual intervention.

Without a scalable architecture, AI generation became difficult to track, review, and manage consistently. Long-running generation tasks created delays, partial outputs caused workflow interruptions, and inventors lacked visibility into drafting progress throughout the filing journey.

What was the client’s key challenge

Inventors and startups struggled to protect intellectual property without choosing between expensive patent attorneys and unreliable DIY filing tools. Existing options were either costly, slow, or lacked proper drafting guidance.

Many users were unsure how to structure applications, describe inventions effectively, or avoid critical filing mistakes. This often resulted in weak patent protection or abandoned filing attempts altogether.

What was our approach

Team Mallow built the platform with an AI-native architecture where every patent order maintained a dedicated ai_content record for storing, tracking, and reviewing generated content. Early planning focused on defining the AI generation lifecycle, intake structure, and regeneration workflows before implementation began. 

Guided intake flows were created to mirror professional patent drafting processes. To improve scalability and user experience, synchronous AI calls were replaced with background jobs, status polling, and queued processing states. This enabled reliable AI generation, better visibility into drafting progress, and uninterrupted workflows across the platform.

The platform supports individual and multi-seat subscription models with defined usage limits. Stripe webhooks manage trials, billing lifecycle events, cancellations, and plan updates.

Separate intake journeys support software and apparatus patent types with mirrored AI workflows and shared validation checks for consistent draft coverage.

Member, Admin, Specialist, and internal operator roles define permissions across drafting, approvals, billing management, and account-level visibility.

How we approached and executed the project

Step 1 - Discovery and architecture assessment

Reviewed the existing AI workflow, identified latency and scalability issues, and designed a scalable architecture to improve reliability, maintainability, and long-term AI generation performance.

Step 2 - AI-native data model

Redesigned the platform using a persistent AI-content model, enabling reliable regeneration, better traceability, improved lifecycle management, and future-ready AI feature expansion.

Step 3 - Background job infrastructure

Implemented asynchronous AI processing with Sidekiq and Redis, improving responsiveness, reducing failures, and enabling scalable handling of long-running generation workflows.

Step 4 - Intake and generation workflows

Built dedicated intake and AI generation workflows with targeted regeneration, guided prompting, and stale-content handling for flexible multi-workflow content management.

Step 5 - Billing and subscription system

Integrated Stripe billing using the Pay gem with webhook-based subscription lifecycle management, tier-based access enforcement, and scalable SaaS subscription handling.

Step 6 - Role and access architecture

Designed a role-based permission system controlling content creation, approvals, billing visibility, and operational actions to improve governance and secure collaboration.

Step 7 - Testing and delivery validation

Established end-to-end validation covering AI workflows, subscriptions, webhooks, and access controls to reduce regression risks and maintain stable production releases.
